The Leave Administration Program Manager oversees the ongoing management of company LOA policies and programs for US-based employees, ensuring leave cases are managed timely, accurately, and with a focus on minimizing operational disruptions. The Program Manager will set standards for administration and provide support for all leave of absence programs, including family and medical leave of absence, short-term disability and long-term disability, military Leave, and ADA accommodations. The Program Manager works with the extended HR team to coordinate general administration, comprehensive case management and program compliance with the Family and Medical Leave Act, Americans with Disabilities Act, and all related employment laws. This position will guide the HR team in best practices, providing exemplary customer service and assistance to employees, executives and HR business partners. KEY ACCOUNTABILITIES As Manager of the Leave of Absence Program for US-based employees, serves as the subject matter expert for leave of absence management in alignment and under the general direction and guidance of senior Human Resources leadership and the Legal department Interprets and administers leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.). Through the extended HR team, directs the implementation of leave programs, to include training for the HR team and others as necessary Collaborates with Third Party administrators, insurers, Payroll, Benefits and HR Business Partners and legal counsel to manage the leave process, resolve issues and apply best practices Responsible for US Leave of Absence program operations; oversees end-to-end administration of all leave programs, including FMLA, ADA, military, personal, and company-sponsored leaves: Engages with the extended HR team, supporting employees’ needs for leave and accommodations per policy and legal requirements; meets regularly with HRBPs to review claim status, return to work status, accommodations and other strategies for resolution Through the extended HR team, ensures employees are provided timely information about their rights and responsibilities; ensures leaves of absence are accurately documented and approved Ensures processes and procedures to facilitate smooth and timely return to work (extended FMLA, workers compensation, or other leaves) are followed Oversees short- and long-term disability program administration, in coordination with FMLA, ADA, and Worker’s Compensation. Ensures that disability claims are appropriately coordinated with FMLA Ensures payment of benefits premiums and updates to coverage are coordinated with the Benefits team Ensures compliance with federally required reporting and notification timelines Leads administrative committee to review cases involving accommodations, extended leave requests, terminations or other special requests Analyzes patterns of program usage; tracks KPIs such as lost time, return-to-work rates, claim duration, and leave utilization. Evaluates effectiveness from a cost, process efficiency and member experience perspective Conducts regular assessments to ensure the organization is fully compliant with FMLA and ADA standards. Conducts leave audits to ensure program compliance and provides feedback and guidance to Human Resources leadership Preserves confidentiality of employee medical documentation and files, providing guidance to HR staff and line managers related to HIPAA confidentiality requirements Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and federal, state, and local laws Performs other related duties as assigned QUALIFICATIONS, EXPERIENCE & SKILLS Bachelor’s degree in human resources related field or equivalent training and experience Minimum of five years’ experience in US leave administration Extensive knowledge of relevant federal and state regulations, filing and compliance requirements; solid understanding of ADA laws, disability accommodations, and accessibility requirements Experience coordinating leaves under multiple programs; FMLA, ADA, sick time, short-and long-term disability and worker’s compensation Ability to train extended HR staff Ability to work independently in a fast-paced environment with changing priorities Ability to deal with confidential information, maintaining HIPAA compliance at all times Ability to establish and maintain effective working relationships with departments, HR managers and senior leadership and employees Ability to identify basic problems and procedural irregularities, collect data, establish facts and draw valid conclusions Ability to manage disability vendors Demonstrated problem solving, time management and priority setting skills Excellent customer service and follow-up skills Effective and professional communication style including the ability to communicate effectively in person and by email and phone Proficiency with MS Office Suite (MS Word, Excel, PowerPoint).
