About the Position We are looking for a highly organized and proactive Executive Assistant to ensure the seamless execution of our client projects and internal operations. In this pivotal role, you will act as a central point of contact, managing client communications, maintaining meticulous records, and coordinating with our internal staff to track project progress. Your responsibilities will range from managing calendars and drafting clear meeting summaries to handling data entry and ensuring all administrative tasks are completed efficiently. The ideal candidate is a detail-oriented professional with excellent communication skills, a knack for anticipating needs, and proficiency in Google Workspace. This position is perfect for a self-starter who thrives on supporting a dynamic team and playing a key part in delivering exceptional client service. What You’ll Do: Draft and send email responses to clients. Track client communications and maintain organized records. Collect project updates from internal staff and summarize key points. Perform accurate data entry and maintain internal project tracking tools. Send client surveys and compile feedback for reporting. Manage calendars, including scheduling and confirming meetings. Take and write clear, concise meeting summaries and distribute to stakeholders. Follow up on administrative tasks to ensure timely completion. Support ad hoc tasks and special projects as assigned. Requirements Proven experience as a personal assistant, executive assistant, or administrative support role. Excellent written and verbal communication skills. Highly organized and detail-oriented with strong time management. Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar) and basic CRM familiarity (Salesforce experience is a plus). Ability to handle sensitive and confidential information with discretion. Self-starter with the ability to anticipate needs and work independently. Preferred Qualifications: Familiarity with Salesforce or project-based environments. Experience in a marketing, consulting, or tech-focused company.
